Transforming Meeting Spaces in 2025

AI: Two letters revolutionising our lives, careers, and the world. It’s key to growth, productivity, and reinventing business processes. The meeting space is no exception. Microsoft Teams Rooms is evolving by enhancing features and introducing advanced solutions powered by Microsoft’s AI assistant, Copilot.

First, let’s look at the numbers.

A recent study from Microsoft commissioned through IDC showed that when organisations truly commit to and invest in AI, the return on investment (ROI) potential grows significantly.

  • For every $1 a company invests in generative AI, the ROI is $3.7x

  • Generative AI usage jumped from 55% in 2023 to 75% in 2024

  • More than 85% of the Fortune 500 companies are using Microsoft AI solutions to shape their future.

“Today AI is the trend reshaping all aspects of work. AI is also reshaping where work gets done. Empower everyone to be seen, heard and recognised with AI-enhanced high-quality audio and video. It’s an exciting time for partners, as M365 Copilot starts to bleed its way into the meeting space.” - Andrew Higgs, Regional Solution Specialist Lead – Asia – Microsoft.

To maximise the benefits of AI investments, your customers need to be equipped with the latest modern devices.

“To get the most out of the meeting room experience, using certified Teams Rooms devices is essential. We have the broadest range of certified Teams Rooms vendors, and we have an extensive portfolio of digital displays and professional AV solutions from industry-leading brands. Prepare your customers for future success by leveraging the latest AI-advancements in certified Teams Rooms devices and let our team support you.” - Andrew Upshon, Head of AV.

Copilot in Teams Rooms

Did you know, 84% of users say Copilot in Teams meetings make action items clearer? Microsoft Teams Rooms’ primary focus for the rest of 2025 and beyond is centred around enhancing meeting room intelligence, by integrating features from M365 Copilot, which will be implemented through Copilot Agents. This will allow features such as the Interpreter Agent and the Facilitator Agent to be made available on the hardware itself.

“Partners that have gone all in on Teams Rooms, I highly recommend looking at M365 Copilot because there is no better together story than Teams Rooms and Copilot. To be able to use the amazing features of Meeting Rooms Copilot takes those capabilities and extends them to the next level. There is no better way to get productivity gains with both of these products. So now is the time to focus on AI, to focus on Meeting Rooms and equipping the meeting spaces for the future.” -  Andrew Higgs, Regional Solution Specialist Lead – Asia – Microsoft.

Andrew Higgs has highlighted three key features where M365 Copilot can revolutionise the meeting room experience.

1. Copilot with Intelligent Speaker

Know who’s talking – with attribute transcription via intelligent speakers. Identify up to 10 voices within the room effortlessly and focus on what matters. Eliminating notetaking and distractions.

2. Facilitator Agent on Teams Rooms

This is an AI-powered meeting facilitator and note taker. It can take meeting notes from the room, even without a scheduled teams meeting. All attendees can be in the meeting without their PCs and facilitator will take notes for them.

3. Interpreter Agent

Gone are the days of needing a translator in meetings. The Interpreter Agent will let you speak to your foreign customers or business partners, by translating what you say in real-time into their preferred language and vice versa. It even keeps your Australian accent!

Copilot for all

To ensure Copilot can provide the same improvements to efficiency and productivity, whether participates are remote or in-room, it’s essential to integrate AI-driven tools seamlessly into your workflow. By leveraging these features, teams can maintain high levels of productivity while becoming well-versed in using AI-tools that will further enhance collaboration and streamline operations.

What are the latest updates from our Teams Rooms Vendors?

Enhance your customers’ meeting room technology to modern devices, now designed and built with embedded AI-functionality.

Cisco

“At Cisco, we were late to the game with regards to MTR devices. However, we spent a lot of that time perfecting all our devices to make sure they work first time, all the time. Our devices now have AI incorporated across the board including the Control Hub, it’s one of the most underutilised solutions that allows you to manage your solutions remotely, troubleshoot and see whether there are issues with core quality and functionality.” - David Nguyen, Collaboration Account Executive.

HP Poly

“At HP Poly, we're excited to showcase our all-new Microsoft Teams Rooms bars, The X32, the X52, and the X72. All three of these products are available now at Dicker Data.” - Sean Stephens, HP Poly Business Development Manager, Dicker Data.
